Event and venue rules

1. Getting in

Bring your e-ticket on your phone or printed, and expect a bag search at the Wicket lobby. Gates open at 13:00, the gate admits until 21:00, and the buildings close at 22:00.

Security may refuse entry to anyone who is visibly intoxicated, carrying a prohibited item, behaving aggressively, or unable to satisfy the age requirements. Refusal is not a cancellation of the show, and no refund is due.

2. Prohibited items

Leave these at home or in the car. If you bring one, security will refuse it and may refuse you:

• weapons of any kind, including knives, tasers, pepper spray and replicas;
• your own alcohol, and any glass containers or coolers;
• illegal drugs and any substance the law prohibits in public;
• drones, and any camera rig, tripod, monopod, selfie stick or pole above head height;
• laser pointers, flares, fireworks, smoke bombs, helium balloons and confetti cannons;
• gazebos, tents, braais, camping stoves, and any open flame;
• generators of any size — they are not permitted anywhere on site, for anyone;
• skateboards, scooters, rollerblades and bicycles (bicycles cannot be brought onto the show floor);
• sound systems or speakers that would compete with the stage;
• pets and animals, other than an assistance dog;
• anything else that management reasonably thinks is a risk to people, to the buildings or to the vehicles.

We may search bags, jackets and vehicles entering the show floor. Refusing a search is a ground for refusal of entry.

3. Around the cars — look, do not touch

Every vehicle on the floor belongs to a private owner who has brought it out at their own cost. This is the rule we enforce hardest:

• Do not touch, lean on, sit on, climb into or open any vehicle, including the doors, the boot and the bonnet.
• Do not put a child on a car for a photograph, and do not let a child squeeze between the cars.
• Do not touch the signage, the ropes, the stands or the display equipment.
• Watch your camera bag and your belt buckle. A swung bag does real damage to a door.
• Keep food, drink, ice cream and balloons away from the display rows.
• Ask a marshal if you want to see something closer, or to speak to an owner.

You are liable for any damage you cause to a vehicle, and we will pass your details to the owner so they can claim from you. That is their right and, with cars of this value, they exercise it.

4. Photography and filming

Handheld photography and filming for your own use is welcome, and there is a designated close-up area for detail shots. Tripods, drones, rigging and poles above head height are not permitted on the floor. Ask an exhibitor before you photograph a person with their car, and do not pose on or against a vehicle. The show may designate certain cars as no-photography; a sign on the plinth means exactly that.

Commercial, press and broadcast work needs accreditation from the show office before the day. Photographers working for a commercial client without accreditation will be asked to stop.

We photograph and film the show for our own promotion — the crowd, the halls and the display. By entering you consent to being filmed or photographed in a general crowd shot, and to us using that material to promote the show. If you specifically do not want to appear, tell a marshal or email info@ghostfest.co.za and we will avoid using a shot that features you.

5. Alcohol, smoking and vaping

Alcohol is sold only by the licensed bar onsite. Do not bring your own, and do not bring alcohol onto the show floor. Bar staff must refuse service to anyone who is drunk or under 18, and they may ask for identification.

Smoking and vaping are permitted only in the designated outdoor area, never indoors and never near the vehicles. Cannabis may be legal in private in South Africa, but smoking it in a public space, and taking it onto these premises, is not permitted.

6. Music, sound and lighting

There is live music and a DJ through the day, and the stage uses moving lights and haze. If you are photosensitive or sensitive to sound, plan around it — the museum floor and the display halls are the quieter parts of the venue. Ask a marshal where the quietest route is.

7. Conduct

Everyone at the show is entitled to a day out without being harassed. We will remove anyone who:

• harasses, threatens, intimidates or discriminates against anyone, on any ground;
• starts a fight, or behaves aggressively towards staff, exhibitors or visitors;
• damages, defaces or steals property, including signage and display equipment;
• sells, hands out flyers, or promotes any business, cause or political party without our written permission;
• ignores a reasonable instruction from a marshal, a security officer or a member of staff;
• breaks any of these rules, or any law, on the premises.

Removal is permanent for the day and carries no refund. Where property has been damaged or a crime may have been committed, we will involve the South African Police Service and pursue the person responsible.

8. Children and missing persons

A kids ticket covers children aged 12 and under. Children under 6 come in free and do not need a ticket. Everyone from 6 upwards needs a ticket of their own.

Children remain the responsibility of the adult who brought them, at all times. If you are separated from a child, tell the nearest marshal or go to the gate immediately, and we will use the show-wide radio net. It is worth writing your phone number on a child’s wristband when you arrive.

9. Health, safety and emergencies

There are marshals, security and first-aiders on site. Ask any of them for help, or go to the gate. In an emergency, follow the marshals and the exit signs and do not go back inside for anything. If the alarm sounds, it is real — the show will be paused and you will be let back in when the venue is declared safe.

Note that the display halls contain vehicles with fuel, oils, batteries and, in the case of some competition cars, fire suppression systems. Do not touch any of it, and do not start or move a vehicle — no visitor, ever.

10. Parking and arriving

Public parking is R30 per car for the day on the Groote Schuur High School sports field — a short walk from the gate. It is not inside the venue grounds. VIP tickets include on-premises underground parking.

Public parking is on Groote Schuur High School sports field, Palmyra Road, Newlands, and you walk in from there. Follow the marshals and do not park on the surrounding streets, on verges, or across any driveway; the roads around the ground are in daily residential use and towing is enforced by the City.

Do not bring a vehicle onto the show floor unless you are an exhibitor with a booked slot and a load-in pass. There is no visitor parking inside the venue grounds except the VIP garage and the underground places that come with a booked exhibitor slot.

11. Lost property and damage

Hand found property to the gate, and ask there if you have lost something. Report any damage or injury to a marshal at once, and in writing to info@ghostfest.co.za within 7 days, so it can be investigated while the site is still set up. Unclaimed property is held for 30 days and then disposed of.
